Who we are

ProSolve Ltd (company number 13955695, registered at 483 Green Lanes, London N13 4BS) is the data controller for the myprosolve.co.uk portals — the partner portal, client portal, admin portal and ProSolve Tap. Contact: info@prosolve.uk.

What we collect and why

• Account data — email address and name, to operate your sign-in (passwordless magic links; optional passkeys and authenticator codes). Lawful basis: contract.
• Partner business data — legal name, trading address, company/VAT numbers and payout bank details, to run the partner programme and pay commissions. Bank details and VAT numbers are encrypted at rest with per-field AES-256 encryption. Lawful basis: contract; statutory accounting obligations.
• Client order data — orders, subscriptions, invoices and project records, processed with Stripe as payment processor. Lawful basis: contract; legal obligation (accounting).
• Support and signature records — support tickets, and signature evidence (name, time, IP address) on agreements and NDAs you sign. Lawful basis: contract; legitimate interest in defending legal claims.
• Security logs — an audit trail including IP addresses for actions like sign-in emails and consent records. Lawful basis: legitimate interest (security). Trimmed automatically after 2 years.
• Analytics — Vercel Analytics, only after you accept it in the cookie banner. Lawful basis: consent.

Processors

Supabase (database and authentication, London region), Stripe (payments), Resend (transactional email), Vercel (hosting and consented analytics) and Upstash (short-lived caching). Each processes data under a data-processing agreement.

Retention and erasure

You can download everything we hold about you (Account → Your data) and delete your account yourself (Account → Danger zone). Deletion erases or anonymises your personal data immediately, with these statutory exceptions, kept in anonymised form: financial records — orders, invoices, payouts, commissions — for 6 years (UK accounting law, GDPR Art 17(3)(b)); signed agreement and NDA evidence for 6 years (defence of legal claims, Art 17(3)(e)); the security audit trail, which is trimmed on a rolling 2-year schedule. Support threads you shared with others keep their messages with your identity removed.

Your rights

Under UK/EU GDPR you have the rights of access, rectification, erasure, restriction, portability and objection. The portal provides access and erasure self-service; for anything else email info@prosolve.uk. You can complain to the ICO (ico.org.uk) or your local supervisory authority.
